Privacy Policy

AgentDesk ("AgentDesk," "we," "us") is an internal application operated by Truckins Insurance Services ("the Company") for use by its authorized staff. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using AgentDesk you agree to this policy.

Information we collect

Account information you or an administrator provide: name, work email address, mobile/phone number, and role.
Authentication information used to secure your account, including two-factor authentication settings and one-time passcodes.
Usage information generated as you use the application, such as sign-in events and administrative actions, for security and auditing.

How we use information

To provide and secure the application, authenticate you, and operate two-factor authentication.
To send you account and security messages, including one-time verification codes by SMS when you enable text-based two-factor authentication.
To maintain audit logs and protect against unauthorized access.

SMS / text messaging

If you opt in to text-based two-factor authentication, we send a one-time verification code to your mobile number each time you sign in or request a new code. Message frequency varies based on your sign-in activity. Message and data rates may apply. Reply HELP for help or STOP to opt out of text messages at any time; opting out disables text-based sign-in codes.

We do not sell, rent, or share your mobile phone number or SMS opt-in information with third parties or affiliates for marketing or promotional purposes. Mobile information may be shared only with the service providers that help us deliver these messages (for example, our SMS and authentication providers), solely to send the codes you requested. SMS opt-in and consent are never shared with third parties for any other purpose.

How we share information

We share information only with subprocessors that operate the application on our behalf — such as our hosting, database, email, SMS, and authentication providers — under agreements that limit their use of the information to providing those services. We do not sell your information. We may disclose information if required by law or to protect the Company's rights and security.

Data retention and security

We retain account and audit information for as long as your account is active or as needed for legitimate business and legal purposes. We use administrative and technical safeguards — including role-based access control, encryption in transit, and two-factor authentication — to protect information. No method of transmission or storage is completely secure.

Your choices

Opt out of SMS codes by replying STOP or by changing your two-factor method in your account settings.
Request access to or correction/deletion of your account information by contacting us (subject to our recordkeeping and legal obligations).

Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by the "Last updated" date above.
